Privacy Policy

Kora ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service. Please read this policy carefully.

1. Information We Collect

Information you provide directly

  • Account information: name, email address, phone number, and WhatsApp number when you sign up or join our waitlist.
  • Business information: your industry type (auto sales, real estate, insurance, general sales) and other professional details you share.
  • Communications: messages you send to Kora via WhatsApp or our platform, including leads, deal notes, and commands.
  • Documents: files and images (e.g., driver's licenses, paystubs) you or your customers submit for data extraction.

Information collected automatically

  • Usage data: pages visited, features used, time spent, and actions taken within Kora.
  • Device information: browser type, operating system, IP address, and device identifiers.
  • Cookies and tracking: we use cookies and similar technologies to maintain sessions and analyze usage. See Section 8 for details.

Information from third parties

  • WhatsApp: message metadata and content transmitted through WhatsApp Business API to provide the service.
  • Payment processors: billing details handled by our third-party payment provider. We do not store full card numbers.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Kora platform and AI assistant.
  • Process WhatsApp commands and sync data between WhatsApp and your dashboard.
  • Extract structured data from documents you submit (with your explicit action).
  • Send you service updates, onboarding guidance, and support communications.
  • Send promotional emails and product updates (you may opt out at any time).
  • Analyze aggregated, non-Google usage patterns to improve the quality, accuracy, and reliability of the Kora service. We do not use Google Workspace data to train or improve generalized AI/ML models (see Section 3).
  • Comply with legal obligations and enforce our Terms of Service.
  • Prevent fraud, abuse, and security incidents.

3. Google User Data (Gmail & Google Calendar)

Kora offers optional integrations with Google. If you choose to connect your Google account, Kora requests only the specific permissions (scopes) needed to perform the actions you ask for. You are never required to connect Google to use Kora, and you can disconnect at any time from your account settings or at myaccount.google.com/permissions.

Scopes we request and why

  • Email address (userinfo.email): to identify your account and sign you in.
  • Send email (gmail.send): to send emails from your Gmail account to your clients on your behalf — such as deal updates, document requests, and booking confirmations. Kora uses this scope only to send messages you initiate; it does not read, delete, or otherwise access your existing emails or mailbox.
  • Calendar events (calendar.events): to read your existing events and to create, update, and delete events on your primary Google Calendar, so that client appointments and reminders you set in Kora stay in sync with your Google Calendar. To power scheduling features, event details you ask Kora to act on (such as title, description, time, location, and attendees) may be processed by our AI service providers as described under "AI processing of Google user data" below. This data is used only to deliver the feature you requested and is never used to train or improve any AI/ML models.

Limited Use disclosure

Kora's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google user data to provide and improve the user-facing features described above.
  • We do not use Google user data for advertising.
  • We do not sell Google user data or transfer it to third parties except as necessary to provide or improve these features, comply with applicable law, or as part of a merger or acquisition.
  • We do not allow humans to read your Google user data unless we have your explicit consent, it is necessary for security purposes (such as investigating abuse), to comply with applicable law, or the data has been aggregated and anonymized.

AI processing of Google user data

Kora does not use Google Workspace API data — including any Gmail or Google Calendar data — to develop, improve, or train generalized or foundational artificial intelligence (AI) and/or machine learning (ML) models. Google user data is used solely to provide and improve the specific user-facing features you request.

Certain Kora features are powered by third-party AI providers. When you ask Kora to act on your Google Calendar, the relevant event details may be sent to OpenAI (model gpt-4o-mini) and Google (model gemini-2.5-flash) solely to interpret your request and complete that action. Your Gmail is used only to send messages you initiate and is never transmitted to any AI provider.

We send Google user data to these AI providers only through their enterprise/API offerings, under terms that prohibit the provider from using the data to train or improve their models and that do not retain the data for any secondary purpose. We do not transfer Google user data to any AI/ML service that would use it to train or improve generalized AI/ML models.

4. How We Share Your Information

We do not sell your personal information. We may share data with:

  • Service providers: hosting providers, payment processors, analytics services, and AI infrastructure providers who process data on our behalf under strict confidentiality agreements.
  • WhatsApp / Meta: as required to operate the WhatsApp Business API integration.
  • Legal authorities: when required by law, court order, or to protect the rights and safety of Kora or others.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, with notice to you.

Your customer data (the leads and contacts you manage in Kora) is yours. We do not access, use, or share it except to provide the service you requested.

5. Data Security

We implement industry-standard security measures to protect your information, including:

  • AES-256 encryption for data at rest.
  • TLS 1.2+ encryption for data in transit.
  • SOC 2 Type II certified infrastructure hosting.
  • Access controls and regular security audits.
  • Automatic session expiration and multi-factor authentication options.

No system is completely secure. If you suspect unauthorized access to your account, contact us immediately at privacy@tellkora.com.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. When you close your account:

  • Account and usage data is deleted within 90 days.
  • Backups are purged within 180 days.
  • Some data may be retained longer if required by law or for legitimate business purposes (e.g., invoices for tax compliance).

You may request early deletion of your data by contacting privacy@tellkora.com.

7. Your Rights

Depending on your location, you may have the right to:

  • Access: request a copy of the personal data we hold about you.
  • Correction: request that inaccurate data be corrected.
  • Deletion: request that we delete your personal data ("right to be forgotten").
  • Portability: receive your data in a machine-readable format.
  • Objection: object to processing based on legitimate interests or for direct marketing.
  • Opt-out of marketing: unsubscribe from any marketing email via the link in the email, or contact us directly.

8. Cookies

We use the following types of cookies:

  • Essential cookies: required for the service to function (session management, authentication).
  • Analytics cookies: help us understand how users interact with Kora (e.g., pages visited, features used). We use anonymized analytics.
  • Preference cookies: remember your language and display preferences.

You can control cookies through your browser settings. Disabling essential cookies may prevent certain features from working.

9. Children's Privacy

Kora is not directed to children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

10. International Data Transfers

Kora is based in the United States. If you access our service from outside the U.S., your information may be transferred to and processed in the U.S. or other countries. We ensure appropriate safeguards (such as Standard Contractual Clauses) are in place for international transfers where required.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a prominent notice on our website at least 30 days before the change takes effect. Continued use of Kora after the effective date constitutes acceptance of the updated policy.
